Our aim is that all visitors enjoy themselves when they stay with us. However we need to tell you a few things to help make sure that happens:
Undertaking
You certify that you are over 18 years of age and will be a member of the party making the booking. When we accept your booking a binding contract will be made between you, all adult members of your party and Kirkwall Bay Touring Park. You confirm that you are authorised to agree to these terms and conditions on behalf of all members of your party so as to bind all of you by them and so that each of you shall be jointly and severally liable for your obligations under this contract, including payment of all fees due. You may not assign this agreement to anyone else.
Bookings & Cancellations
Full payment is required at the time of booking. You can receive a refund less a 10% handling fee if your cancellation is made 30 days or more before your arrival date. If you cancel 29 days or less before your arrival date you will not be entitled to a refund. It is regretted that no refunds can be made if you depart prior to the end of your booked holiday. Holiday insurance is recommended. Maximum permitted stay at any one time is 28 days.
Check-in/out
Check-in is from 12 o clock. On day of departure we ask that you please vacate your pitch by 11am.
Admittance to Site
Management reserves the right to refuse permission to use the site. In such cases all booking monies will be refunded in full and the agreement ended. No commercial vehicles, vehicles with sign writing or working type vans are permitted on site. No running of a business or carrying out work is permitted from site.
Cars/Vans
No persons shall be allowed to sleep in a vehicle which has not been designed for that purpose. We reserve the right to terminate the booking if you are sleeping in a car or a van that has not been fully converted. If you are in any doubt whether your vehicle will be allowed on our site please contact us with photos of your conversion for approval via e-mail.
Vehicles/speed limit
A speed limit of 5mph operates within the site and 10mph on the site access road. All roads should be used in accordance with the Highway Code. A maximum of one car by each pitch is allowed. Any additional cars must be parked in the nearby parking areas away from the pitch.
Dogs
Well behaved dogs ( max 2 ) are welcome but must be kept under control at all times and on a lead when outside. Pet owners are responsible for clearing up after their dogs. Dogs are not permitted in shower/toilet block and STRICTLY no access to dogs in the farm fields surrounding the site.
Children
Children must be under the supervision of their parents or guardians at all times. This is particularly important when in the vicinity of the roads and grass bund area bordering the shoreline. No children under the age of 5 are allowed in the toilet & shower blocks unless accompanied by an adult.
Electric Hook-up
Guests using the electrical points are responsible for their connector cable, plugs and all other equipment connected to their unit, which must comply with all current British Standards and Regulations. At no time shall other site users electrical hook-ups be tampered with. The use of electric hook-up splitters is prohibited. Electric hook-ups are provided for use with camping accessories only, charging of electric vehicles is not permitted.
Noise
No unnecessary noise at any time and especially between the hours of 2230 and 0800.
Fire Precautions
Everyone should acquaint themselves with the safety precautions against fire and the whereabouts of the fire points. Strictly no open fires are permitted on site.
Barbecues & Camping Stoves
If camping stoves are used please ensure no heat transfer to grass. Bonfires /open fires are NOT permitted.
Smoking
NO smoking in and around Reception/toilet/shower/wash up area.
Sanitation
Emptying and cleaning of chemical toilets must only be done at the chemical disposal point, using water from that source. Due to the nature of waste water disposal only detergents and cleaning products suitable for Septic Tanks are accepted. Bleach must not be used and any cooking fat, grease etc. should be disposed of in a container and put into a refuse bin and not down the sinks. ONLY toilet paper to be flushed down the toilets in the Toilet Block. Use bins provided for any other items. Disposable nappies and similar bulky items must be wrapped in a bag and placed in the bins provided.
Waste Water
A suitable receptacle, which should not be allowed to overflow, must be used for the collection of waste water and emptied at the disposal points provided.
Refuse Disposal
Refuse must be placed in the receptacles provided beside the Shower & Toilet Block.
Safety and Behaviour on Site
All guests are expected to conduct themselves in a manner which respects the comfort and convenience of other guests. Kirkwall Bay Touring Park is a rural site and cannot be adapted to remove all the potential hazards of nature. As such please respect the signage, barriers and any instructions from site teams for health and safety reasons. The site is based on a working farm and as such strictly no entrance is allowed to the farm premises or surrounding fields.
Liability
We shall not be liable for any loss that you may suffer as a result of any act or omission by any person who is not employed by us. We shall not be liable to you for any consequential or indirect loss that you suffer whether this loss arises from breach of duty in contract or tort or any other way. Except in the case of personal injury or death, our total liability to you in respect of all claims arising out of your stay shall not exceed the cost of your booking. We accept no responsibility whatsoever for your personal belongings whilst they are on the park.
Data Protection
The information you give us in connection with your booking is held securely on our computer system and dealt with in accordance with the Data Protection Act 2018. We shall use the information provided on your booking for internal administration and to carry out our obligations to you and (if different) the person using the facilities. We would also like to use the information provided by you to contact you via post/phone/email about any offers or opportunities that we feel may be of interest to you. If you would prefer us not to contact you please inform Reception when booking. Queries or Complaints
Any cause for complaint should in the first instance be addressed with the management team at Reception. If in the unlikely event the complaint cannot be resolved on site then it should be addressed for the attention of the Customer Services Team, Kirkwall Bay Touring Park, Carness Farm, Carness Road, Kirkwall, Orkney, KW15 1UE.
